This Privacy Policy sets out our commitment to protecting personal data and explains how Sussex Exteriors collects and uses personal data in connection with this website and our services.
We are committed to the following principles:
- Personal data shall be processed lawfully, fairly and in a transparent manner.
- Personal data shall be collected for specified and legitimate purposes and shall not be further processed in any manner incompatible with those purposes.
- Personal data shall be adequate, relevant and limited to what is necessary for those purposes.
- Personal data shall be accurate and, where necessary, kept up to date.
- Personal data shall not be kept for longer than is necessary for the purposes for which it is processed.
- Personal data shall be processed in accordance with the rights of data subjects under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
- Appropriate technical and organisational measures shall be taken against unauthorised or unlawful processing of personal data and against its accidental loss, destruction or damage.
- Personal data shall not be transferred outside the United Kingdom unless an adequate level of protection is ensured.
Who is responsible for your data?
Sussex Exteriors, a silicone render and external wall insulation company based in Dunsfold, Surrey, is the controller of the personal data described in this Privacy Policy. Our contact details are set out at the end of this policy.
What data do we collect?
We collect personal data only where it is necessary for the purposes set out in this policy. This may occur in the following ways.
Enquiries
When you submit an enquiry through our contact form, we collect your name, email address, telephone number, the address of the property concerned and the content of your message. Only your email address is mandatory. Enquiries are delivered to us by email, and a copy is retained on our website to ensure that no enquiry is lost should an email fail to arrive.
Website usage
Subject to your consent through the cookie banner, we collect information about how our website is used, including the pages visited, how you arrived at the website, the type of device and browser used and your approximate location. We also measure whether visits originating from our advertisements result in an enquiry. The cookies we use are listed in our Cookie Policy.
Spam protection
To protect our contact form against spam and misuse, we record the number of messages sent from a single connection. For this purpose we store a scrambled (hashed) version of your IP address for one hour. Your IP address cannot be derived from this value.
Why do we collect your data?
We use your personal data for the following purposes, each of which has a lawful basis under the UK GDPR:
- To respond to your enquiry, arrange a survey and provide a quotation. This processing is necessary to take steps at your request before entering into a contract.
- To carry out the work if you become a customer, and to maintain the records required for guarantees, tax and accounting. This processing is necessary for the performance of our contract with you and for compliance with our legal obligations.
- To analyse the use of our website and the performance of our advertising. This processing is based on your consent, which you may change or withdraw at any time using the Manage consent button available on every page.
- To protect our website against spam and misuse. This processing is based on our legitimate interests.
We do not sell your personal data, we do not send marketing emails unless you have requested them, and we do not use your personal data for automated decision making.
Do we share your data?
We engage a limited number of service providers who process personal data on our behalf and solely in accordance with our instructions:
- Krystal, which hosts our website;
- Brevo, which delivers enquiry emails from our website to our inbox;
- Microsoft 365, which provides our email services;
- Google (Google Analytics, Google Tag Manager and Google Ads), which provides website statistics and advertising measurement, subject to your consent;
- Smart Monkey Marketing, our marketing agency, which manages our statistics and advertising;
- The Digital Dutchie, which builds and maintains our website;
- YouTube, which displays the video on our external wall insulation page. The video is loaded only after you have accepted the cookies it requires.
Certain of these providers, including Google and Microsoft, may process personal data outside the United Kingdom. Where this occurs, the transfer is safeguarded by UK adequacy regulations or by contractual terms approved for that purpose under UK law.
How long do we keep your data?
We retain personal data only for as long as is necessary for the purposes for which it was collected:
- Enquiries that do not result in work: up to two years after our last contact;
- Customer records: for as long as necessary for the work and its guarantee, and for a minimum of six years for tax and accounting purposes;
- Website statistics: no longer than 14 months;
- Spam protection data: one hour.
What rights do you have over your data?
You have the right to request access to the personal data we hold about you, and to request that we correct or erase it.
You have the right to request that we restrict the processing of your personal data, to object to its processing, and to receive your personal data in a format that allows it to be transferred to another organisation.
Where our processing is based on your consent, you have the right to withdraw that consent at any time.
We will respond to any request within one month of receipt.
If you are dissatisfied with the way in which we handle your personal data, you have the right to lodge a complaint with the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We would, however, appreciate the opportunity to address your concerns first, and ask that you contact us before doing so.
How can you contact us?
For any queries regarding this Privacy Policy, or to exercise any of your rights, please contact us by email at sales@sussexexteriors.com or by telephone on 01428 748881.
What changes have we recently made?
We reserve the right to amend this Privacy Policy at any time. Any change to the way in which we process personal data will be reflected on this page, together with the date on which this policy was most recently updated.
